RC Boat Regatta RSVP Website: Boat Counts, a Dock Cap, and a Weather Cutoff

An RC boat regatta RSVP has to lock a hull and a slip before the heat sheet is printed, because a maybe does not hold a boat.

RC Boat Regatta RSVP Website: Boat Counts, a Dock Cap, and a Weather Cutoff

An RC boat regatta breaks when the dock can launch six hulls and ten skippers show up with a boat that was never on the list, or when the heat sheet was built for a count that included three maybes who stayed home when the wind picked up. Boats, the slip each hull waits in, and the wind number that cancels the day are set before anyone puts a hull in the water. The host does not invent a seventh slip because a friend decided to race after the roster closed. A maybe does not hold a boat.

You can create an RC boat regatta RSVP that fills the slips you will actually run, records one hull per skipper, and stops when the dock is full.

Count the boats the dock can launch

Walk the pond before you send the link. Write down how many hulls can be in the water without crossing, how many can wait on the dock without blocking the ramp, and whether the club has a rescue craft or only a long pole. If you can run six boats at once for three heats, with one hull per skipper, that number is your cap. A second boat in the trunk is not a second entry.

A slip is one skipper with one hull. Ask whether a helper who will not drive can stand on the dock, and whether that person still counts toward the number the park allows on the pier. Pick one rule and write it on the page. Helpers stay behind the line you marked. They do not launch a second radio.

Ask the last time you can change the heat sheet without reprinting it and without promising water time you cannot give. If the park permit names a start and an end, those times are the day. Write the finish too: one hull, three heats or fewer, out of the water when the permit ends. A fun run after the last heat is not a plan if the dock has to be clear.

Set a capacity limit on skippers who will put a boat in, not on everyone who might come to watch. When the last slip is taken, the form should say the regatta is full. If the heats are already numbered, a late hull is not in this water.

The weather line is a number, not a feeling

Name the boats you will race and stop there. A clear line is ready-to-run electric hulls on 2.4 GHz, under a length you can turn on this pond, with the skipper bringing a charged pack and a radio that will not fight the others. Gas boats, a sailboat that needs a different course, and a homemade hull that has never floated are a different event. Do not add them at the ramp.

Put the cancel rule on the page in words a skipper can check from home. If you will call it off when the forecast shows winds over 12 miles an hour, lightning, or a pond the park has closed, say that, and say what time you will decide. A morning text is the decision. You need a yes to this hull and this weather rule before you print a heat sheet.

A person on the bank, and a way to reach them

Regattas go wrong when the only phone number belongs to someone who is already on the dock and not looking at it. Ask for a emergency contact who is not in the water with a radio, and say why: a twisted ankle on the ramp, a dead car battery, a skipper who does not answer.

Add a weather contingency that matches the call you will actually make. The page should say whether a cancel means the regatta is over or moved to a named backup morning, and that a moved morning still uses the same slip cap. Nobody gets a second boat because the first date blew out. Write the arrival too: 8:40 to 8:55 for a 9:00 launch, so radios can be checked before the first heat. If someone is later than that, the slip goes to a standby who is already on the bank, or it stays empty and the late hull does not launch.

The moment the heat sheet is locked

The meeting point is the dock you named, not "the park pond" with three shores. Put your phone on the page. A photo in the group chat is not a slip. You match names to the heats.

Tie the deadline to the permit and the forecast check, the morning you will either run or cancel. After the roster lock, a late yes is a call about a cancellation, not a promise of another heat. If you want names ready when a skipper drops, keep them as standbys and tell them they do not have a slip until you write back. A maybe does not hold a boat.

Export the list the morning you lock: attending or not, hull type, radio note, emergency contact, party size on the dock, and phone. An RC boat RSVP is finished when every slip has a named skipper, the hull fits the water you already reserved, and a late car knows whether they are launching or going home.
