Put arrival on the form as the window the dock will actually be open. If the freight door is staffed from 7:30 to 8:15 and the public starts at 10:00, that is the line. People who want to unload at 9:40 will block the aisle while visitors are already in the parking lot. You need a yes to this scale, this table length, and this dock window before you tape the floor.

Operators, watchers, and a place to stand

Shows go wrong when one yes hides a whole club. One operator who brings three friends is one layout and four bodies, not four layouts. Ask for the operator's name, the layout name, the scale, and how many people will be with them inside the hall. A friend who is only watching does not get a table.

Tables are a long stand, and some aisles are tight. Collect accessibility needs only where you can honor them: a table at the end of a row, a chair behind the layout, or a note that the operator cannot lift a module alone. Do not promise a freight elevator you have not seen. Collect an arrival window inside the dock hours, not a vague morning. The window might be 7:40 to 7:55 so the first tables are placed before the second wave blocks the door. Write what happens if someone is later than the dock close: the table goes to a standby operator who is already in the lot, or it stays empty and the late layout does not come in.

The moment the floor plan is locked

The meeting point is the dock door you named, not "the community center" with no side of the building. Put your phone on the page. A message in the club forum is not a table assignment. You match names to the map.

Tie the deadline to the hall, the day the table count cannot change. After that, a late yes is a call about a cancellation, not a promise of another circuit.
