A bocce tournament breaks when you have seven names for teams of four, or when two courts are booked for ninety minutes and a fifth team has nowhere to throw. Courts are rented by the hour. Ball sets are finite. A maybe does not hold a court.

Ask what the courts will actually give you

Call the park, club, or venue before you send the link. Write down how many courts you have, how long you have them, whether the time includes setup, and how many ends you can finish in that window. Decide the team size before you invite anyone. Four is common. Pairs are common on a short booking. Mixing both in one bracket makes the draw uneven and the clock wrong. Set a capacity limit on players, not on spectators and not on the size of the group chat. When the last player spot is taken, the form should say the draw is full. Ask whether they are bringing a named partner or want you to assign them. If teams must be set in advance, say the deadline for naming a partner. After that, you assign. Do not leave a team of three because two friends refused to pick.

Balls, shirts, and a weather call

Ask the venue how many ball sets come with the courts and whether you may bring your own. If you are lending sets, count them against teams, not against invites. Say if players should wear flat shoes and skip the dress shoes that damage a clay court. If you are printing shirts or handing out a color for each team, collect sizes only for people marked playing, and set the shirt deadline earlier than the play deadline.

Outdoor courts need a weather note on the RSVP. Say who decides to cancel, how people will hear, and whether the booking moves or the money is gone. Use the venue's rule. A light rain and a closed park are not the same thing, and your page should not invent a refund the club does not give.

Start time and a bracket you can finish

Put the court address on the page the way the venue describes it: which park entrance, which court numbers, and where to park if the lot fills. Ask people to be on the court a set number of minutes before the first end. A late team does not get the full time if the next booking is waiting.

Tie your RSVP deadline to the moment you must send the venue a final count and lock the draw. After that, a late yes is a call about a cancellation, not a place in the bracket. Standbys should be told they do not have a team until you write back. A maybe does not hold a court.

Decide who keeps score before the first end, and say it on the page. A tournament with no scorekeeper becomes an argument about who won the end. If you are giving a small prize, cap the prize list at the number of teams you can actually field, and do not buy extras for maybes. Ask whether anyone cannot play a full ninety minutes. If the courts share a parking lot with another event, say so, and say where a second car should go. A full lot does not move your start time. Ask who is driving and who needs a seat, only if the venue is hard to reach without a car. Do not turn the form into a carpool you will not run.

Export the list the day you lock: playing or watching, team or unassigned, shirt size if you are using them, phone, and any weather contact.
